While Fons doesn't do payroll we do have a payroll report you can open or export to a pdf or csv that could be used for importing into a payroll system.

Why doesn't Fons do payroll? Well we like to focus and be the very best for automated payments and scheduling and there are just better apps for payroll 🤷 Here are a couple of reasons we don't do payroll:

  • Payroll taxes are different for everyone

  • 1099 and W2 Reporting and Filing for employees

  • Employee benefits / Workers Comp

  • Overtime and pay rates

  • Expense tracking for employees


Payroll Report Features

  • totals how many hours a staff member has produced

  • totals staff member appointment count

  • income (for hourly appointments only)

  • report individually counts appointment labels for more granular reporting

  • create distinct "buckets" of staff member hours by appointment labels.

Using Appointment Labels for Efficient Payroll Reporting

Appointment labels play a crucial role in generating accurate and organized payroll reports. By labeling appointments effectively, you can simplify payroll calculations and provide clear summaries of hours worked for each teacher based on specific tasks or appointment types. Here's how it works and when to use appointment labels.

Importance of Labels in Payroll

Appointment labels are used to categorize appointments in payroll reports. When applied to each appointment (for example, labeling a session as “Piano – 30 minute”), appointment labels help the payroll system:

  • Group time entries into distinct "buckets" under each teacher.

  • Summarize the total hours worked for each label.

  • Facilitate easier tracking and analysis of time spent on various tasks.

Steps for Labeling Appointments

To ensure effective payroll reporting, labels should be applied at the appointment level rather than the client level. This is because the payroll system utilizes these appointment labels as the basis for generating grouped summaries of hours worked. Label each appointment according to the relevant activity or session type.

Impact on Payroll Reports

When appointments are labeled appropriately, payroll reports will:

  1. Display labeled categories ("buckets") under the associated teacher's name.

  2. Summarize the total hours worked by label (e.g., "Piano – 30 minute").

  3. Enable quicker evaluation of time allocations and task-specific workloads. By following the practice of labeling individual appointments, organizations using Fons can leverage comprehensive and efficiently organized payroll reporting.


Run the Payroll Report

  1. While in Fons, navigate to the Reporting tab->Reports

  2. Select the Payroll Report

  3. Fill in the Fields, some reports have different fields

  4. You can just open the report in another tab or download choose the Format CSV or PDF format.

  • If you choose PDF you will have the option to Open or Download

  1. Click Open or Download report

  2. Before running the report, ensure appointments are properly labeled to reflect grouped summaries in the report.

Payroll Report - shows cancelled appointments that should have been paid

scenario: 1: student cancels 72 hrs in advance--> the lesson does not appear on payroll at all. It is not shown in the 'cancelled' column and is not added to their hourly total.

Scenario 2: Student cancels 24 hrs in advance and I charge them--> the lesson is shown in the 'cancelled' column and added to the teacher's hourly total.

Scenario 3: Student cancels 24 hrs in advance and I do not charge the client--> the lesson is shown in the 'cancelled' column and added to the teacher's hourly total.

Payroll Columns Explained

Staff - person that taught Appointments Appointments Labels - the label applied to the taught appointment Count - how many confirmed appointments were given for each label Hours - sum of a time per each confirmed appointment given Attendees Accepted - count of confirmed attendees Canceled - appointments that were charged because they were outside of the cancellation window Labels - provide categories for grouped time entries, showing hours worked under each label distinctly.
