FAQs about Cancelling and Rescheduling Appointments
You can cancel or reschedule a single appointment or a recurring series of appointments
You can't cancel past appointments
The system will note the appointment was cancelled by a staff member.
The client will not be charged for any appointments cancelled by staff.
Teachers now have the option to Cancel on behalf of the client.
As a provider cancelling an appointment overrides your cancellation policy and will NOT charge the client.
To Cancel an Appointment
Login to Fons and navigate to the appointment you would like to cancel.
Click on the "Cancel" button. Once you click cancel you can add an optional note and it will notify your client via email and within the To-Do area in the app.
Note: If you do not see the "cancel" button check the date of the appointment you are trying to edit...you are not able to cancel appointments that have already passed.
To Cancel on Behalf of a Client:
Students will sometimes contact their teacher directly instead of using the app to cancel a lesson, so we have an option for the staff member to cancel on behalf of the client and leave up to the admins to charge it or not.
If it's an early cancellation the client isn't charged.
If it's a late cancellation it will be set to charge unless an admin clicks "Do not Charge" before the appointment ends.
If an admin clicks "Charge Now" it will immediately charge.
If nothing is done and the appointment happens the charge will run as normal after the appointment.
To Reschedule an Appointment

Clients DO NOT have to re-confirm the appointment, they can just cancel if it doesn't suit them.
Login to Fons and navigate to the appointment you would like to reschedule.
Click on the "Reschedule" button to change the date, start time, or duration.
If it is a recurring appointment you can reschedule the entire series by toggling the switch at the top (so it is green) or just the one by leaving it greyed out.
Note: If you do not see the "reschedule" button check the date of the appointment you are trying to edit...you are not able to reschedule appointments that have already passed.
Click Save. This will email your client and highlight the changes that have occurred.
