Set Up / Block Available Booking Times/Locations - Office Hours

Don't allow clients to book? You’re good to go, you can set lessons without setting up scheduling hours.


Taking bookings? Easy—set your default hours (9–5, evenings, weekends—whatever fits you) and Fons keeps clients in those slots. These hours are indicated on the calendar with a solid border.

Temporary Hours
Life happens—summer hours, vacations, family time—pop in exceptions anytime. These hours are indicated on the calendar with a dotted border.

Location Magic
Link a client or service to a location (like Zoom or studio), and it’s only bookable when that place is open in your schedule


Setting Default Availability Booking Hours - desktop

  1. Log in to your Fons account. *Only admins can set/change

  2. Navigate to the Calendar tab

    • if you are a single provider skip to the next step

    • If on an org with multiple staff select one staff member at a time

  3. Click the EDIT AVAILABILITY button

  4. Click the DEFAULT HOURS button

  5. Select the day of the week, set the time and location.

    1. If you don't select a location then you will be available at that time for any locations set for a client or a appointment service

    2. If you don't choose any days/times your those will be unavailable for booking

  6. When you’re done, click “Save.”

Example:

Monday (Any Location)

  • 9:00 AM – 12:00 PM

  • 2:00 PM – 5:00 PM

Wednesday (Zoom Room Only)

  • 9:00 AM – 5:00 PM

Setting Default Availability Booking Hours - mobile

  1. Log in to your Fons account.
    Only admins can set or change availability.

  2. Go to the Calendar tab- Turning your phone sideways to landscape mode is a more expansive view, showing default and temporary availability

  3. If you are a single provider, skip to the next step.

    • If you are in an organization with multiple staff, select one staff member at a time from the "calendar" at the bottom

  4. Tap the 3 dots (⋮) in the top corner, then choose Edit Availability.

  5. Tap the Default Hours button.

  6. Set your hours:

    • Select the day of the week.

    • Set the time(s) and location.

    • If you don’t choose a location, that time will be available at any location your clients or appointment services are set to.

  7. Unavailable days/times:

    • If you don’t set any hours, that time/day will be unavailable for booking.

  8. When finished, tap Save.

Setting Temporary Availability or Block Booking Hours

  1. Log in to your Fons account. *Only admin roles can set/change

  2. Navigate to the Calendar tab

  3. Select one staff member at a time.

  4. Click the EDIT AVAILABILITY button

  5. Click either

    • Click +TEMPORARY HOURS button

    • Click on the calendar for a single day

  6. Choose either

    1. Single day, you can also click on a day on the calendar to choose to only blackout hours or create temporary hours

    2. Multiple days - use to create a range of blackout hours or temporary hours

  7. Select the day of the week, set the time and location.

    1. If you don't select a location then you will be available at that time for any locations set for a client or a appointment service

  8. When you’re done, click “Save.”

To Edit Existing Temporary Availability or Block Booking Hours

  1. Log in to your Fons account. *Only admin roles can set/change

  2. Navigate to the Calendar tab

  3. Select one staff member at a time.

  4. Click the EDIT AVAILABILITY button

  5. Click in the existing range, indicated by a dotted border.

  6. Select the day of the week, change the time and location or click the trash can to clear the availability and block the time.
