How to Use the Fons Library for Shared Files & Folders

The Fons Library for Shared Files & Folders lets you upload, organize, and share files directly with your clients — all from inside Fons.

This makes it easy to keep lesson materials, studio documents, and resources in one place — without relying on email attachments or external file-sharing tools.

What You Can Do in the Library

From the Library, you can:

  • Upload files and folders

  • Share and unshare content with clients

  • Move and organize files into folders

  • Duplicate files or folders

  • Delete files or folders

Access & Permissions in the Fons Library

Client Access

  • Clients have read-only access

  • Clients can view and download shared files and folders

  • Clients cannot upload, edit, or share files

Staff Access

  • All staff members (including admins and owners) have full access to the Organization’s drive

  • Staff can upload, organize, share, duplicate, and delete files within the Organization drive

Staff Member Drives

  • Each staff member’s personal drive is private

  • Other staff members—including admins and owners—do not have access to another staff member’s drive


Before you can start using the Library drive, you’ll be prompted to click Confirm to agree to the Terms of Service.


Uploading Files

  1. Log in to your Fons account

  2. Navigate to Library

  3. Click My Drive

  4. Click Upload File or Upload Folder

  5. Click the upload area to select files or drag and drop files from your computer

Once uploaded, the file will appear in your Library.

💡 Tip: Use clear, descriptive file names so clients immediately know what the file is (e.g., Spring Recital Info.pdf).


Creating Folders

  1. Navigate to Library

  2. Click My Drive

  3. Click New Folder

  4. Enter a folder name

  5. Click Create

Common folder examples:

  • Studio Policies

  • Sheet Music

  • Practice Assignments

  • Recital Information

  • Welcome Materials


Moving Files and Folders

  1. Locate the file or folder you want to move

  2. Click the three dots (⋯)

  3. Select Move

  4. Choose the destination folder

  5. Confirm the move

Organizing files into folders helps clients quickly find related materials.


Duplicate Files and Folders

  1. Locate the file or folder

  2. Click the three dots (⋯)

  3. Select Duplicate

A copy will appear labeled “Copy of [file or folder name]”.


To Share:

  1. Locate the file or folder you want to share

  2. Click the three dots (⋯)

  3. Select Share

  4. Select individual clients or use the magnifying glass to bulk share

  5. Choose:

    • Save (no email sent), or

    • Save & Notify (sends an email with a link)

When shared:

  • Clients receive access in their portal

  • If Save & Notify is selected, they also receive an email with the file link

  • The client dashboard displays the last 3 items shared, with access to their full Library

Shared content remains accessible unless it is unshared or deleted.


Unsharing Files or Folders

  1. Open the file or folder you want to unshare

  2. Click the 3 dots to the right, select Share

  3. Click the trash can beside the client's name that you would like to unshare


Updating or Replacing Files

To update content:

  • Upload a new version of the file

  • Remove outdated files if needed

Clients will always see the most current version you’ve shared—no need to resend links.


Best Practices

  • 📂 Use folders for recurring materials (policies, events, assignments)

  • 📝 Keep file names clear and consistent

  • 📢 Tell clients where to find shared files during onboarding


Troubleshooting

Clients can’t see a file

  • Confirm the file or folder is Shared

  • Make sure the client is logged into the correct account

File won’t upload

  • Log out of Fons and log back in

  • Check your internet connection

  • Confirm the file type is supported

  • Refresh the page and try again
